Clients stop for all sorts of reasons: an injury, a busy season, a break they fully intend to come back from. Archiving is for exactly that. It takes someone off your working dashboard without throwing anything away.
Archiving someone
Open the client, then archive them from their actions. You will see a confirmation naming them ("Ana has been archived"), and they drop off your main list.
Finding them again
Archived clients has its own screen, reached from the dashboard menu. Everyone you have archived is listed there, and unarchiving is a single action. You get "Ana has been unarchived", and they return to your dashboard as they were.
With nobody archived, the screen says so plainly rather than showing an empty box.
A wait applies on the Foundation plan
On Foundation, a 14-day wait applies after archiving before you can unarchive that client, and you are warned before you do it. The archived clients screen counts it down for you. So on a free plan this is not a decision to reverse the next morning.
What archiving does not do
It does not delete anything. Their workouts, exercises, form responses, weight logs and measurements are all still there when they come back. That is the entire point: a client returning after three months should not be starting from an empty profile.
It is also not the same as a client deleting their account. That is their decision, it runs on a 14-day cooling-off, and it removes their data permanently. Archiving is yours, immediate, and reversible.
Their own Workout Titan account carries on either way. Archiving changes your roster, not their sign-in.
Archive or leave them active?
Archive when someone has genuinely stopped. A dashboard full of people who have not logged anything in two months makes it harder to see the ones who need you this week, and that is the cost of leaving them there. Archiving is also the way back under a client limit when your plan covers fewer clients than you currently have, and it costs you none of their history.
Leave them active for a known short break. A two-week vacation does not need administration.
If a client's coaching account is archived, their Workout Titan Nutrition app tells them so and stops sharing nutrition data with you until you restore access. So archiving someone who is mid-way through a nutrition block is visible on their side, not silent. It is worth a message first.
Client limits and going over one covers the other reason coaches archive: a plan that covers fewer clients than you currently have, and the two ways out of it.
