Organizing workouts with folders

Folders group a client's workouts, with a name, description, icon and color. They are the difference between a program and a list of thirty workouts.

A client you have worked with for a year has a lot of workouts. Folders group them, and Workout Titan Coaching describes them exactly that way: a way to group this client's workouts. They belong to the client, like the workouts inside them.

Creating one

New folder, from the client's workouts. Four things to set:

  • Name: what the client sees.
  • Description: room to say what the block is for and how long it runs.
  • Icon and color: how it reads at a glance.

The icon and color are not decoration if you use them consistently. Use the same color for the same kind of block across every client and your whole roster becomes scannable. You can see who is in a strength phase without reading a word.

Filling in the description is optional, and worth doing. It is the cheapest place to answer the question a client would otherwise send you as a message: what this block is for, and how long it runs.

Folders are a grouping layer rather than a requirement. A workout with no folder still appears for the client and still works the same way. You can file things as you build them, or leave them unfiled until there is enough to group.

How to divide them

By time is usually better than by body part. A folder called "Block 1, Jan to Mar" tells a client where they are. "Legs" tells them nothing they could not see from the workout titles, and it grows forever.

Time-based folders also give you somewhere to put finished work. When a block ends, the folder becomes the record of it rather than clutter you feel obliged to delete.

Empty folders

A folder with nothing in it tells your client "Your coach hasn't put any workouts in here yet", in those words. That is fine if they are expecting next week's block to appear, and confusing if they are not. Build the folder when you are ready to fill it.

Deleting one is safe

The workouts inside are kept. Deleting a folder removes the grouping, not its contents. The workouts go back to being unfiled, and everything your client logged against them is untouched. You are asked to confirm, and reorganizing is genuinely low-risk: you are moving labels, not training history.
