Reading form responses

Every submission, labeled by who sent it and whether it came in privately or through a public link. What an unanswered question means, and what deleting one destroys.

Responses are collected per form. Open one and you get every submission it has ever had, newest first, with the date it was submitted.

Who sent it

Each response is labeled Private or Public: whether it came from a client you assigned the form to, or through a public link.

Private responses name the client. Public ones name a respondent if they gave one and show as Anonymous if they did not. That distinction matters when you are reading a public inquiry form. You may have no reliable way of knowing who answered.

Reading one

Open a response and you see each question with its answer. Yes-or-no questions show as Yes or No; anything left blank is marked as having no answer rather than shown as empty.

That distinction is worth reading properly. A skipped optional question is information. Either the question does not apply, or it is one people consistently avoid, which usually means it is badly worded.

Reading them as a series

One check-in tells you about a week. Four in a row tell you about a person. Read a client's responses in sequence before you write their next block. Sleep scores drifting down over a month are invisible in any single submission and obvious across four.

This is the argument for numeric questions. A series of numbers can be compared; a series of paragraphs has to be re-read.

Nothing yet

An empty list says you have not received any submissions for this form yet. If that persists on an assigned form, check the client is actually receiving it. Assignment and building are separate steps, and a form nobody was assigned to collects nothing forever.

Deleting a response

You can delete individual submissions, with a confirmation. Reasonable for junk arriving through a public link; think twice for a client's genuine response, which is part of their record and part of the series you would otherwise read next month.

Deleting the form itself destroys every response it holds. The confirmation says so. If you are finished with a form, unassign everyone and leave it. The history stays readable and costs you nothing.

Handling what people tell you

Clients are asked not to put personal or private information in a form, but some will anyway. People disclose things when asked how they are. If something arrives that belongs with a doctor rather than a coach, act on it as a person rather than filing it as data.
