Every plan carries a client limit, and it is possible to be over it. Workout Titan Coaching says so directly: "You've gone over your client limit of 3". It does not quietly fail at some later point.
How you end up over
Almost always because a paid plan expired and the account dropped to Foundation, which allows 3. If you were coaching 12 people on Performance and the subscription lapses, you are nine over on the morning it does.
That is worth anticipating. A renewal that fails because a card expired is not only a billing detail. It changes what you can do with your roster that day.
What to do about it
There are two options, and they are the only two.
- Upgrade to a plan that covers the roster you actually have.
- Archive the clients you are not actively coaching, which takes them off your active list without deleting anything.
Upgrading happens through your app store, Apple or Google, rather than from us directly. It is not something you can do from Basecamp.
Archiving is the right answer when the roster had drifted anyway, with people who stopped months ago and were never tidied up. It is the wrong answer if you are archiving someone who is mid-programme and expecting a workout on Thursday.
A wait applies on Foundation
Archiving on Foundation carries a 14-day wait before you can unarchive that client, and you are warned before you do it. The archived clients screen counts the wait down for you. So archiving to make room is not a decision you can reverse the next morning. Factor that in before you move somebody out of the way.
Nothing is deleted
Being over the limit does not remove clients or destroy data. Their programmes, logs and history are intact, and upgrading restores normal service. Do not panic-delete anything to get under a number.
Check before you promise a place
Manage account, then Subscription, shows your plan and quota usage. Check there before you send an invite. It avoids telling somebody they can start on Monday and then discovering you have no room for them.
Tell clients before you archive them
Archiving is visible on their side, and if they also use Workout Titan Nutrition their app tells them their coaching account is archived and stops sharing data with you. Someone finding that out on their own, with no message from you, reasonably concludes they have been dropped.
