Understanding recurring forms and schedules

Recurring forms are timed from the last submission rather than the calendar. How weekly, monthly and quarterly schedules work, and what to do if a form has not appeared.

Recurring forms let coaches automate check-ins, progress tracking and data collection. Once a form is assigned to a client on a recurring schedule, Workout Titan Coaching handles the timing.

How the schedule is worked out

The timer is completion-based. The countdown to the next form starts only once the client has submitted the current one.

So that a form is available when a client expects it (every Monday morning, say), each frequency has a grace period. A form is not held back just because the client submitted it late in the evening last time.

Frequency options

1. Weekly (the 6-day rule)

  • Target: every 7 days.
  • How it works: the form comes back once six full days have passed since the last submission.
  • The threshold: 6 days, not 7.
  • Example: a client who submits on Monday at 10 pm can see the next form from Sunday at 10 pm, six full days later. Counting whole days rather than to the exact hour is what stops a late submission pushing every future form later and later. The side effect is that a weekly form often reappears the evening before the same weekday comes round.

2. Monthly (the 28-day rule)

  • Target: every 30 days.
  • How it works: the form reappears roughly once a month.
  • The threshold: 28 days.
  • Why: the form lands in the same week of each month, and shorter months like February still fit.

3. Quarterly (the 85-day rule)

  • Target: every 90 days.
  • How it works: the form reappears every 3 months.
  • The threshold: 85 days.
  • Why: the 5-day buffer absorbs the different month lengths, so the form is ready for the client at the start of each new quarter.

Key information for coaches

  • First assignment: when you first assign a recurring form to a client, it appears on their dashboard immediately, whatever frequency you chose. The recurring timer starts only after that first submission.
  • Changing frequency: if you edit a form's frequency, from weekly to monthly for example, the new timing applies to every assigned client the next time they complete the form.
  • One at a time: forms never stack up. If a client misses three weeks of check-ins, they still see one form on their dashboard. Once they complete it, the timer resets for the next one.

Troubleshooting for clients

  • "My form hasn't appeared yet": forms appear based on when you last finished them. If you submitted your weekly form late, on a Wednesday evening say, the next one is available the following Tuesday evening, six full days later.
  • "I finished the form but it's still there": pull down on your dashboard to refresh the list. If it is still there after that, your coach may have assigned the form to you more than once.
  • "I missed a week": the form stays on your dashboard until you finish it, so nothing is lost. Once you submit, your schedule picks up again from that new completion date.
